One of the best ways to set up file storage and sharing for your business is to use OneDrive for Business and a team site together. This is ideal if you have a small business with a few employees.

Office 365 includes a basic team site for you to get started. You can immediately start storing files in OneDrive and collaborating on files in the team site.

Note

The basic team site is still provided but is now hidden. It can only be accessed from the Microsoft 365 admin center or the SharePoint Online admin center.

Where you can store documents in Office 365

  • OneDrive is designed for individual use, with the occasional sharing of files.

  • A SharePoint team site is designed for sharing and collaborating on files regularly. A team site is ideal for storing files that have shared ownership where several people own the files and might collaborate on them. Create a Microsoft Team to add a SharePoint site. Both OneDrive and team sites provide anywhere access for you and your employees.

Here are recommendations for what to store in each location when you use OneDrive and team sites together:

SharePoint team sites
Collaboration. When you create an Office 365 group (for example, in the Microsoft 365 admin center, in Outlook, or by creating a team in Microsoft Teams) a SharePoint team site is created for that group. Likewise, when you create a new SharePoint team site from the SharePoint home page or from the new SharePoint admin center preview, it also creates an Office 365 group. Files that have shared ownership. We recommend separate team sites for each unit of work in your organization. For example, to keep personnel and financial documents private to a small team, create a separate team site.

Note

SharePoint also has other types of sites you can use for your business. You can use communication sites in your intranet to publish information for a broad audience. And you can use hub sites to connect sites in your intranet.

Start using OneDrive and your team site

Team members can store their own files in OneDrive

Each person in your business who has an Office 365 license assigned (and SharePoint Online selected) gets OneDrive cloud storage. They can store business-related files here for access from any device, and they are only available to that user. For example, they might store a draft proposal, their meeting notes, or the script for a demo they're going to deliver.

Employees can also share OneDrive files and folders. If an employee is away or leaves the company, others can access shared files stored in OneDrive.

Here's how each person on your team can set up OneDrive and share files.

  1. Go to the admin center, and sign in with your user name and password.

  2. From the App launcher, select OneDrive.

  3. In OneDrive, team members can store their own business-related files. You can share either individual files, or a whole folder. Pick a file or folder, right-click, and then choose Share.

  4. On the Send Link page, leave the default selection Anyone with the link can view and edit.

    Type names or email addresses of team members who you want to have access to the folder, and add an optional message.

    If you want your own copy of the email that will be sent, add your email address to the list.

  5. When you're done entering who you want to share with, select Send. The email is immediately sent to the people you invite.

Explore your team site

Office 365 includes a basic team site with some features to help you get started. Only the people in your business can access this internal website.

Here's how you get to your team site:

Mac excel manual calculation. However, this can really slow down your VBA code. In this Article.Whenever you update a cell, Excel goes through a process to recalculate the workbook. When working directly within Excel you want this to happen 99.9% of the time (the exception being if you are working with an extremely large workbook).

  1. Go to the admin center, and sign in with your user name and password.

  2. From the App launcher, select SharePoint, then choose your team site link on the left-hand navigation menu.

  3. You'll see your team's home page. This page includes:

  • The main page displays team News and Activity, such as new files added or recently edited.

  • The +New button to add elements to the home page, such as a document library, list, or new page.

  • The left-hand navigation menu to get to other areas on your team site, like the team document library.

Upload files to your team site for online collaboration

To help you get started storing and sharing files quickly, your team site comes with a place to store files. It's called the Documents library as in a 'library of documents.'

Here are the steps to add files:

  1. On the home page of your team site, choose Documents from the left-hand navigation menu. This will take you to your Documents library.

  2. While you're still signed in to Office 365, open Windows File Explorer from your taskbar or other location. Go to the files you want to upload to your team site.

  3. Select the files you want to upload to your team site, and then drag them to the Document library.

  4. When you're done, the files will be stored in both your team site and your computer.

  5. You can delete the files from your computer. In the next step, Sync online files with your PC or Mac, you're going to create a new location for these files on your computer.

Sync online files with your PC or Mac

Now that you have files on your team site, you can set them up to sync with your PC or Mac. This way, you can work on your files from your PC or Mac instead of working in Microsoft Edge, Chrome, or another browser. It's also useful to have a version of your files synced on your computer for situations when you need to get to a file and you aren't connected to the Internet.

After you set up files to sync with your computer, when you're connected to the Internet, they'll be synchronized automatically.

Here's how to synchronize files on your team site with your desktop:

  1. On the home page of your team site, choose Documents from the left-hand navigation menu. This takes you to your Documents library.

    Tip

    When syncing files on your team site, you're syncing each file library on the site, not the entire site.

  2. Choose Sync to synchronize all the files. Or browse to the specific folder you want to sync.

  3. If prompted to switch apps, choose Yes. OneDrive is the process doing the synchronization.

  4. If you then get a Set up OneDrive prompt, sign in with your work or school account.

  5. If you haven't yet synced your OneDrive, you might see a This is your OneDrive folder screen. Check the path under Your OneDrive folder is here. Choose Change Location if you want to use a different path, and then select Next.

  6. The files in your team sites will appear in the left pane of File Explorer under the name of your organization. The files in OneDrive will appear under 'OneDrive - <Name of Organization>'

  7. Test the synchronization by opening a file in the team's folder on your computer. Make a change, and then choose Save.

Best practices for file storage and sharing

Here are a few tips for getting the most from OneDrive or your SharePoint team site.

File storage and collaboration recommendations for other types of small businesses

  • Sole proprietorships: Use OneDrive to store your own files and share them with customers on a case-by-case basis.

  • Co-ownerships: Both owners use OneDrive and share files back and forth.

  • Businesses with external clients or partners who need access to files: Create a new team site to store and share documents intended for a specific customer. Set up the site to allow access to only that customer. You then don't need to worry that one customer will accidentally get access to information intended for another customer.

Keep private files private

When you store a file in OneDrive it's only accessible by you, unless you share it with others. When you share files, you can choose to create a link that can be forwarded, or to share with only specific people. You can also create separate folders in OneDrive for different purposes such as public, personal, or for individual projects. Each folder can be shared with a different person or group, or nobody else at all.

What files can be stored in OneDrive and a team site?

While you can upload almost all types of files, some file names and characters in file names aren't allowed. For more info, see Invalid file characters and file types in OneDrive for Business.

Enable or disable third-party storage services

You can enable third-party storage for your users in Office 365 so they can store and share documents using services like Dropbox in addition to OneDrive for Business and team sites. This can be a great way to provide services that your users may already be using or prefer to use for business projects. If you don't want people in your organization using Office to open files in a third-party service, follow these steps to turn it off.

Important

Third-party storage is enabled by default so you need to perform these steps right away if you don't want it available to your users.

  1. Sign in to to the admin center.

  2. Go to Settings > Services and add-ins > Office on the web.

  3. Select the check box to turn third-party storage on or off.

Office for home Some Office for home products come with a product key. If yours did, before installing Office for the first time, sign in with an existing or new Microsoft account and enter your product key* at office.com/setup. Office for business If your Office for business subscription plan includes the desktop version of the Office apps you won't see an option to install it unless someone in your organization assigned a license to you. Note: *Some versions of Office such as Office Professional Plus 2019, Office Standard 2019, or a stand-alone app such as Word 2019 or Project 2019 don't have an associated account. The steps to install these versions can be different depending if you got Office through one of the following ways:
Microsoft HUP: You bought Office for personal use through your company and have a product key, see Install Office through HUP.
Volume license versions: IT departments might use a different method to install Office for people in their organization. Talk to your IT department for install help.
Third-party seller: You bought Office from a third-party and you're having problems with the product key.

Sign in to download Office

  1. Go to www.office.com and if you're not already signed in, select Sign in.

  2. Sign in with the account you associated with this version of Office. This account can be a Microsoft account, or work or school account. I forgot the account I use with Office

  3. After signing in, follow the steps that match the type of account you signed in with.

    You signed in with a Microsoft account

    1. From the Office home page select Install Office.

    2. Select Install (or depending on your version, Install Office>).

    You signed in with a work or school account

    1. From the Office 365 home page select Install Office apps (If you set a different start page, go to aka.ms/office-install.)

    2. Select Office 365 apps to begin the installation.

    Tip: The 64-bit version is installed by default unless Office detects you already have a 32-bit version of Office (or a stand-alone Office app such as Project or Visio) installed. In this case, the 32-bit version of Office will be installed instead.
    To change from a 32-bit version to a 64-bit version or vice versa, you need to uninstall Office first (including any stand-alone Office apps you have such as Project of Visio). Once the uninstall is complete, sign in again to www.office.com and select Other install options, choose the language and version you want (64 or 32-bit), and then select Install. (See Install Visio or Install Project if you need to reinstall those stand-alone apps.)

  4. This completes the download of Office to your device. To complete the installation, follow the prompts in the 'Install Office' section below.

    Tip:Don't see an install option after signing in? There could be an issue with your account. Select Need help? from above and review the solutions under Account questions.

Install Office

  1. Depending on your browser, select Run (in Edge or Internet Explorer), Setup (in Chrome), or Save File (in Firefox).

    If you see the User Account Control prompt that says, Do you want to allow this app to make changes to your device? select Yes.

    The install begins.

  2. Your install is finished when you see the phrase, 'You're all set! Office is installed now' and an animation plays to show you where to find Office applications on your computer. Select Close.

Installation or sign in issues?

Activate Office

  1. To open an Office app, select the Start button (lower-left corner of your screen) and type the name of an Office app, like Word.

    If you have Windows 8.1 or 8.0, type the name of an Office app on the Start screen. Can't find your Office apps?

  2. To open the Office app, select its icon in the search results.

  3. When the Office app opens, accept the license agreement. Office is activated and ready to use.

    Note: The Activation Wizard appears if Office has trouble activating. Complete the steps in the wizard to finish activating Office.

Sign in and install Office

  1. Go to www.office.com and if you're not already signed in, select Sign in.

    Note: If you bought Office for personal use through your company's Microsoft HUP benefit, you may not be able to sign in here. Find installation help at Install Office through HUP.

  2. Sign in with the account you associated with this version of Office. This account can be a Microsoft account, or work or school account. I forgot the account I use with Office

  3. After signing in, follow the steps that match the type of account you signed in with.

    From the Office home page select Install Office to start the download.

    You signed in with a work or school account

    1. From the Office 365 home page select Install Office apps (if you set a different start page, go to aka.ms/office-install).

    2. Select Office 365 apps to begin the download.

    Note:Don't see an install option after signing in? There could be an issue with your account. Select Need help? from above and review the issues listed in the section Account questions.

  4. Follow the instructions below to complete installing your Office apps.

Install Office

  1. Once the download has completed, open Finder, go to Downloads, and double-click Microsoft Office installer.pkg file (the name might vary slightly).

    Tip: If you see an error that says the Microsoft Office installer.pkg can't be opened because it is from an unidentified developer, wait 10 seconds and move the downloaded file to your desktop. Hold Control + click the file to launch the installer.

  2. On the first installation screen, select Continue to begin the installation process.

  3. Review the software license agreement, and then click Continue.

  4. Select Agree to agree to the terms of the software license agreement.

  5. Choose how you want to install Office and click Continue.

  6. Review the disk space requirements or change your install location, and then click Install.

    Note: If you want to only install specific Office apps and not the entire suite, click the Customize button and uncheck the programs you don't want.

  7. Enter your Mac login password, if prompted, and then click Install Software. (This is the password that you use to log in to your Mac.)

  8. The software begins to install. Click Close when the installation is finished. If Office installation fails, see What to try if you can't install or activate Office for Mac.

Launch an Office for Mac app and start the activation process

  1. Click the Launchpad icon in the Dock to display all of your apps.

  2. Click the Microsoft Word icon in the Launchpad.

  3. The What's New window opens automatically when you launch Word. Click Get Started to start activating. If you need help activating Office, see Activate Office for Mac. If Office activation fails, see What to try if you can't install or activate Office for Mac.

  1. Go to Finder > Applications and open the Office app you want.

  2. In the Dock, Control+click or right-click the app icon and choose Options > Keep in Dock.

Account questions:

I don't have a Microsoft account yet, or I forgot my username or password

Before you can install Office 365 or Office 2019 you need to associate it with a Microsoft account, or work or school account.

If you have an Office for home product and bought Office at a retail store or online store, but don't have a Microsoft account, it's possible you haven't redeemed your product key yet (if you got one), or you missed the step for linking your recent purchase with an account. Do the following to link an account with Office.

For an Office for home product, go to office.com/setup and create a new Microsoft account or sign in with an existing one, then follow the remaining steps on that page such as entering your product key (if you have one). Your account is successfully associated with Office when you see the page, My Office Account followed by your Microsoft account email address, and a button to install Office. Select the PC or Mac tabs above to help you with the rest of the install process.

I don't see an option to install Office after signing in with my work or school account

365

After signing in with your work or school account you don't see an option to install the desktop applications on the Office 365 home page, go directly to the Office 365 Software page instead. Select the language and bit-version you want (PC users can choose between 32-bit and 64-bit), and then click Install. See Step 2 and 3 on the PC or Mac tabs above to help you with the rest of the install process.

Notes:

  • If your organization uses Office 365 operated by 21Vianet in China, sign in to the Office 365 Software page at https://portal.partner.microsoftonline.cn/OLS/MySoftware.aspx.

  • If your organization uses Office 365 Germany, sign in to the Office 365 Software page at https://portal.office.de/OLS/MySoftware.aspx.

If you still don't see an option to install Office on the Office 365 Software page, it's possible your admin hasn't assigned a license to you. Find out if you have a license to install Office.

If you're a student or teacher and your institution didn't give you a license, find out if you're eligible to Get Office 365 for free.

I can't sign in with my work or school account

If you're trying to sign in with your work or school account to www.office.com and your sign in is blocked, it likely means your Office 365 administrator set up a security policy that's preventing you from signing in to that location.

To install Office, try signing in directly to the Office 365 Software page instead. Select the language and bit-version you want (PC users can choose between 32-bit and 64-bit), and then click Install. See Steps 2 and 3 on the PC or Mac tabs above to help you with the rest of the install process.

  • If your organization uses Office 365 operated by 21Vianet in China, sign in to the Office 365 Software page at https://portal.partner.microsoftonline.cn/OLS/MySoftware.aspx.

Not all versions of Office include a key, but if yours did, you need to redeem it before you can install Office. Go to office.com/setup and sign in with an existing Microsoft account or create a new one, then enter your product key. Follow the remaining prompts to finish linking your Microsoft account with this version of Office.

How many computers can I install Office on?

For Office 365 for home subscribers only: You can install Office on all your devices and be signed in to five at the same time. To learn more, see How sign in works in Office 365.

If you have Office 365 Home, you can share your Office 365 Home subscription with up to five family members or other people. Each person can install Office on all their devices and be signed in to five at the same time.

For a one-time purchase of Office such as Office Home & Student, Office Home & Business, or Office Professional: You can install these non-subscription versions of Office on only one computer. However, you may transfer Office to another computer that belongs to you if you experience a hardware failure or you buy a new computer. For more information, see the Microsoft License Terms for your product, or see this blog post, Office now transferable.

Check you have administrator rights on your computer

When installing Office on a PC, you must be an administrator on the PC computer where you want to install Office. If you're not sure, see Check if you have local admin rights to install Office.

How do I install stand-alone office apps such as Visio or Project?

If you bought a stand-alone version of an Office app, for example Visio or Word, in most cases you install this app in the same way you install the Office suite, by signing in to www.office.com with your Microsoft account, or work or school account and selecting Install for your stand-alone product.

How do I install Office on my mobile device?

The Office apps are available to install on your iPhone and iPad, Android device, or Windows phone and tablet. See Set up Office apps and email on a mobile device.

Office is taking very long to install

If Office seems to be taking a very long time to install, this may be caused by problems with your internet connection, firewall, or anti-virus software. For possible solutions, see Office is taking long to install.

Office can also take long to install because of a slow internet connection (such as a dial-up connection). If you don't have a good connection, install Office using the Use the Office offline installer.

I received an error during install

Office won't install: Your computer must be running a supported operating system to install Office. Ver-mac pcms 1500 user manual. You can find a list of which systems are supported on the system requirements page. For example, your install won't be successful if you're trying to install Office on a computer running Windows Vista or Windows XP operating system. If your computer can't install the full desktop version of Office, try the free Office Online apps using your desktop browser.

I received an error message: If you got an error message while trying to install Office and it has a Learn More link, select it to get information for how to troubleshoot that particular error. If there wasn't a link, see Troubleshoot installing Office.

I received an unsupported operating system message: If you got an unsupported operating system error message you may be trying to install Office on an unsupported device such as installing the Mac version of Office on a PC or vice versa, or trying to install Office on a Chromebook or other mobile device.
